CNS People Administrative & Operations Assistant

What you will learn and contribute to

The People Administrative & Operations Assistant provides general services, administrative, secretarial assistance and project office support to the CNS People team

As part of CNS People Organization, you will:

  • Autonomously performs general and administrative tasks with a moderate level of guidance and within guidelines and policies.
  • Coordinate the CNS People Governance activities (meetings, minutes, agendas, etc.)
  • Ensure the People program agenda planning and progress follow-up
  • Keeping track of project statuses and providing project support where necessary
  • Efficiently manage calendars by tracking meeting commitments, prioritizing meetings, and monitoring changes with overall responsibility on Executive Leaders’ time allocation
  • Approving on behalf of Executive Leader in various tools, e.g., for direct reports’ travel requests and expense claims ,recruitment requests, country time registration and vacation tools, other people management related tools, purchasing tools, etc.
  • Creating and tracking Purchase Orders where needed
  • Support Executive leader on all daily administrative tasks as needed
  • Arrange and coordinate all aspects of domestic and international travel; air, hotels, ground transportation, visa/passport maintenance and related expense reporting and claims
  • Providing support for logistics arrangement of internal and external meetings, e.g. Leadership Team meetings, Team workshops, etc.
  • Coordinate with People Operations to ensure the implementation of People procedures, practices and operations
  • Cooperate with the different departments of the People organization, CPO and with other CNS teams, Finance, Transformation, Operations, Marketing, etc.

Your skills and experience

You have:

  • At least 7 years professional experience providing support on organization, operations and time management for upper-level management
  • Excellent language skills and the ability to translate technical updates into storytelling
  • Adaptable and flexible with the ability to perform virtual work within multiple time zones
  • Expert knowledge of MS office skills (Word, Excel, Power point), communication software (Gmail, Outlook) and messenger platforms (Slack, Yammer)
  • Ability to handle sensitive and confidential information and supporting compliance issues
  • Ability to Identifying possible points of friction and proactively approaching them

It would be nice if you also had:

  • Excellent interpersonal skills and comfortable to work under pressure
  • Productive communication skills towards all team members
  • Willingness to proactively learn new skills
  • Experience in travel arrangements – domestic and international – air, hotels, ground transportation, visa and passport requests
  • Experience working with scheduling, meeting arrangements, agenda management
